What to check before choosing
Choose the actual workflow before the brand: one-user service billing, recurring client invoices, stock-linked sales or multiple-currency customers. Compare the named plan, not a product-wide feature list.
Xero Standard and Premium differ on currency and forecast depth. QuickBooks Simple Start lacks recurring invoices and multi-currency, while Essentials adds both; native stock control belongs to higher QuickBooks editions.
Quenta MSME Starter is single-user with no inventory module; Growth adds users and inventory. Its document allowances count uploaded records and are not verified invoice-volume limits.
Juan Essentials and Growth provide accounting invoicing, unlike Fast File. Check the Essentials quote/order allowance, paid add-ons and import limitations before migration; a help article contradicts itself about multiline invoice import.
Pilot a quote, invoice, part payment, overdue reminder, customer credit and refund. Confirm whether a refund instruction moves money or only records an accounting entry. Export transaction data and attachments before committing.
AI extraction, coding suggestions and conversational finance tools are different capabilities. Confirm numeric quotas, language, beta availability and the exact review step; generic AI marketing is not unlimited plan entitlement.
Connect one real Philippine bank or wallet and verify settlement fees, matching, failed payments and reconciliation. Generic gateway logos or bank feeds do not establish your merchant eligibility.
Budget using regular renewal prices, not launch discounts. Include extra users, document packs, payment fees, developer quotas, migration services and applicable taxes. Prices and obligations were checked on 27 October 2026.
